Information you provide
Project enquiries include your contact details, project information and uploaded documents. Job applications include contact details, location, experience, tickets, availability and any CV supplied. Please do not upload unnecessary sensitive information.
How information is used
We use enquiries to assess and respond to project requirements and applications to assess suitability for work. We do not use these forms to subscribe you to marketing. For quotation requests, we process information to take steps you request before entering a contract. For business-to-business enquiries, our legitimate interest is responding to business opportunities. For applications, we take steps at your request towards a potential employment or engagement contract. We also rely on our legitimate interest in assessing suitability and managing recruitment. We use limited technical information, including a salted hash derived from your IP address, to protect forms against abuse; our legitimate interest is keeping the website and submitted information secure. We do not make solely automated recruitment decisions. There is no legal obligation to submit a website form. Fields marked as required enable us to assess your request and contact you; we may be unable to handle it without this information. Other information and documents are optional.
Storage and recipients
The website uses OpenAI Sites and Cloudflare for hosting and private storage, Resend for transactional email, and Microsoft 365 for the Venom email inbox. This means enquiry and application details may also be held in notification emails and correspondence. Authorised Venom personnel use submitted information to manage enquiries and recruitment. Provider agreements and applicable international-transfer safeguards must be confirmed before this notice is published. Documents are held privately and are not published on the website.
Retention
We review unsuccessful enquiries and supporting documents 12 months after the enquiry closes, and unsuccessful applications and CVs 6 months after the recruitment decision. At review, we delete information no longer needed. We keep information longer only for an ongoing matter, an agreed recruitment retention period, or a documented contractual or legal need. For accepted projects and engagements, retention depends on the contract, accounting obligations and the need to establish or defend legal claims. Deletion reviews include associated uploads, email delivery records and copies in our inbox. Anti-spam identifiers have a short protection window and expired records are cleared during subsequent form activity. These are review periods, not a promise that records are automatically deleted on a fixed date.
Your choices and rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your information, subject to applicable conditions. Where processing relies on consent, you may withdraw it without affecting processing already carried out. Contact info@venomcontractors.co.uk.
